iNetVendor Stock Management
What ever information you wish to retrieve from a database, someone had to have entered the information
in the first place. The quality of of the infomation that you get in the end depends very much on how
well the data was filed and updated. This applies right across the board and Stock Control data is no exception.
Where is the item located? How many pieces are there left? Is it time to order more stock? All these and many
more questions can be answered very quickly with the new inetVendor Stock Management Extension.
Entering a New Product
When you enter a new product, you can now add more information to help you track the
item. This is reflected in the addtional fields in the Add Products form namely,
1. Cost price
2. Warehouse
3. Location
4. Number in Stock
5. Minimum Stock Level
6. Reorder Level
None of these fields are mandatory, but remember, the quality of information you get depends
on what you put in!
Stock Settings
You will need to set your Stock Settings according to your requirements.
These will be reflected at the storefront. For example, you might wish to
always show an item as in stock, even if you do not hold any stock. This
could apply to businesses that might have a good arrangement with a local supplier
who can deliver quickly and thus mitigating the necessity to hold any stock
at all. On the other hand, you might prefer to let your customers know exectly how many
items you have in stock for immediate shipment. You should consider carefully how
you set your stock preferences and opinions vary widely on this subject. If you think that
showing an item as always 'in stock' will help keep your customers, make sure that
you can deliver quickly and explain what this means in your delivery information page.
The settings available are:
1. Show number in stock - example, '10 In stock' will be displayed
2. Only show 'In Stock' without number - example, 'In stock' will be displayed
3. When item is out of stock: Show as 'Out of Stock' OR Always show 'In Stock'
4. Allow purchasing of out of stock items - Applies to make-to-order or advance orders.
5. Allow purchasing of only items in stock - The standard setting.
Warehouses and Locations
It might sound rather big and you might not have one, but you will always need
some place to keep your stock. It might be the spare room, the shed, what ever, but we will call it
the 'warehouse'. It is the building where you pile your stock to sell. Within the 'warehouse'
you will have one or more arrangements of shelves or bins which we will call the 'Locations'.
Warehouses and locations can be renamed to whatever name you like. You are given a warehouse called
'Main Warehouse' and an 'Unnamed' location within it by default. You can use them as they are if you wish.
1. To add more warehouses, click Stock->Locations. Type in a new warehouse name and click Add New.
2. To rename a warehouse, select a warehouse from the dropdown list. Type in a new name in the box below and press Rename.
3. To delete a warehouse, select a warehouse to delete from the dropdown list and press Delete.
4. To add a new Location, type in the new location box and press Add New.
5. To rename a location, first make sure that you have the right warehouse. Then select a location from the dropdown list. Type in the new name box and press Rename.
6. To delete a location, make sure you have the right warehouse. Select a location to delete from the dropdown list and press delete.
Receive Stock
When you receive a consignment of new stock, you should enter it into the system. This
is done via the Receive Stock page. To receive stock, first select the product by
clicking the radio button, or do a quick search and then select it from the results
table. Next, select the warehouse/location the items should go to. Enter the quantity
you received and click Update. You will notice that the stock count is adjusted UPWARDS.
Reduce Stock
This is the reversal of Receive Stock. The number of items you enter will change the
count DOWNWARDS.
Transfer Stock
The stock tracking will update the stock count from the MAIN warehouse and locations only.
You can transfer stock from one warehouse to another or from location to location. If you find that
you have stock in more than one location and you are running low at the main warehouse, you
can transfer stock in from the other secondary locations. Since we are unable to do a manual 'pick',
the system will automatically 'pick' from the main location. Stock is adjusted downwards by the
quantity purchased only when payment is received. |
